Research New markets to identify opportunities for Events FunctionsTo ensure proper business lead handover is received from every channels for flawless execution.To conduct sales calls with the team and set up appointments for personal sales calls, telemarketing to all existing and potential accounts.Liaising with clients to ascertain their precise requirements, either during site inspections, phone meetings or email Correspondence.To respond to all inquiries within 24 hours and to follow up to ensure the client has received the information and clarify questions. To upsell confirmed groups and events with higher menu and other auxiliary revenues to help surpass Catering budget.Producing Event Function proposal quotes and Letter of Agreement to clientele.Producing individual, detailed Event Functions plans e.g. Run sheet, site requirements, bar requirements, floor plan requirements, VIPs holding room requirementsSelling, securing and booking venue hire for Events Functions, including site inspections, pro forma invoicing, deposit payment paperwork etc.Coordinating between SY, caterers, contractors, external suppliers for each Event FunctionCoordinate with the Operations for revisions and updates of the catering update regularly, reflecting trends and memberclient needsPreparing EO Event Order for internal use e.g. details of event, billing instruction etc.Meets weekly with the Food and Beverage department to review upcoming events and parties, EO Event Orders meeting informs all necessary departments of any updates or changesTo ensure all relevant departments are updated of groups and events in the SY, making sure resumesBEOs are send and group meetings are done in a timely manner.To follow up on lost business and bring information about them to the knowledge of the department superior.To maintain an efficient customer database system, this is essential in generating sales activities report.To be aware of all fire, health, safety, emergency and security procedures in the SY.Liaising with CEO, Catering Director, Marketing Director of Marketing Communication for Marketing, PR and Advertising of Venue Hire for any important Events FunctionsMaintaining and creating strong business relationships with external suppliers and clientsCoordinating staff, suppliers, handling client queries and troubleshooting on the day of the Event Function to ensure all runs smoothly and professionally from start to finish and s in a professional mannerKnowledge, skills and abilities to perform proper table service, event setup, table sizes and capacities, proper table settings for daytime and evening events experience in fine dining etiquettePost Event Function evaluation e.g. data entry, analysis and producing reports for ManagementFollow up with Clients for Post Event Feedback
